Clinic Software vs Excel and Paper
Paper ledgers and Excel are cheap and familiar to start with, but as patients, doctors and accounts grow, double data entry, calculation errors and lost records become the practice's real cost. This comparison shows where each method works and where it doesn't.

When is Excel enough?
For a newly opened practice with a few patients a day, a simple spreadsheet for payments can be enough. Excel is flexible and costs nothing, but once two people work on the file at the same time, appointments and records are added to it, or doctor shares need calculating, formulas and files become fragile.
The core problem with Excel and paper is that information is split: appointments in one place, check-ins in another and accounts in a third file. Every transfer between them means retyping and another chance of error.
Signs it's time for software
- The end-of-day cash doesn't match the ledger
- Finding a patient's history takes minutes
- Double or overbooked appointments happen
- Calculating doctor shares takes days every month
- More than one receptionist or computer works in the practice
- You have no backup of patient data
Moving from Excel to software in three steps
- 1Set up the basicsDefine doctors, services and fees once in Hamyarteb.
- 2Register active patientsNo need to import every file; register active patients at their next visit.
- 3Run in parallel for a weekKeep the ledger or spreadsheet alongside the software for a week, then retire it.
Frequently asked questions about running a practice on Excel
Can a practice be run on Excel alone?
For a small practice with one user, to a point; with several users, scheduling, records and doctor shares, Excel becomes slow and error-prone.
Can my old Excel data be moved into the software?
You don't need to move everything; active patients are registered at their next visit and records fill in over time.
Isn't clinic software more expensive than Excel?
Excel costs nothing to buy, but receptionist time, accounting errors and the risk of data loss are its hidden costs; Hamyarteb also starts with 500 free visits.
Is the software harder to learn than Excel?
Not for daily practice tasks; the screens are built for exactly those tasks and include in-app help.
